Match orders to deductions and payouts

Separate sales from cash received

An order value and a bank deposit describe different events. Payouts may combine many orders and include deductions or adjustments from another period. Keep separate records for order activity, settlement activity, and bank receipts.

Build a matching reference

Use order IDs and settlement references wherever available. Organize exports consistently by platform and reporting period. Keep original reports unchanged, then use a working copy to classify fees, refunds, shipping adjustments, and other differences.

Investigate unmatched items

Create an exception list rather than forcing totals to match. Common operational reasons include timing differences, pending settlements, partial refunds, and transactions recorded twice. Assign an owner and follow-up date to unresolved items.

Close the loop each period

Compare platform settlement totals with actual deposits and explain any remaining difference. Keep the reconciliation and supporting files together for your accounting team. This operational workflow supports financial organization; tax treatment should be reviewed with your appointed professional.
